Athletic Administrative Assistant

The Athletic Administrative Assistant supports the mission and operations of the athletic department by providing administrative, organizational, and communication support to the Athletic Director, coaches, student-athletes, and families. This position helps ensure the smooth day-to-day functioning of athletic programs while promoting excellence, professionalism, and a Christ-centered approach to athletics.

The Athletic Administrative Assistant serves an important role in supporting a program that develops student-athletes in skill, character, discipline, and faith.

requirements

  • Must be a Christian and actively attend a local church
  • High school diploma required; associate or bachelor’s degree preferred
  • Administrative or office support experience preferred
  • Experience in athletics, school operations, or event coordination preferred
  • Strong organizational and multitasking skills
  • Proficiency in office software, data entry, and communication platforms
  • Strong interpersonal and customer service skills
  • Physical ability: walking, standing, stooping, and lifting up to approximately 30 lbs
  • Full-time position Monday through Friday, with occasional weekend tournament coverage
  • Work day from 7:30 a.m. to 4:00 p.m. with game schedule rotation
  • Desire to continue career improvement and travel if necessary

essential responsibilities

  1. Communicate effectively (written and verbal) with students, parents/guardians, administrators, and staff
  2. Follow and enforce school rules, policies, and procedures
  3. Support the philosophy and mission of Trinity Christian Academy
  4. Adapt to change and perform additional assigned duties

pRIMARY RESPONSIBILITIES

Administrative Support

  • Provide direct administrative support to the Athletic Director and athletic department
  • Manage calendars, schedules, meetings, and correspondence
  • Prepare and organize athletic documents, forms, and records
  • Maintain accurate files for athletes, coaches, eligibility, and compliance
  • Support budget tracking, purchase requests, invoices, and department paperwork

Athletic Operations Support

  • Assist with scheduling games, transportation, officials, and facility use
  • Coordinate logistics for practices, competitions, tournaments, and events
  • Oversee registrations, physicals, eligibility documentation, and required forms
  • Track uniforms, equipment, and inventory
  • Assist with senior night, banquets, awards programs, and recognition events

Communication & Family Support

  • Serve as a point of contact for parents, coaches, and visiting schools
  • Communicate schedules, updates, and announcements
  • Support communication through school platforms and social media
  • Maintain athletic calendars, website updates, and event information

Game Day & Event Support

  • Assist with home game operations and logistics
  • Support ticketing, gate coordination, setup, hospitality, and supervision
  • Coordinate volunteers and support personnel
  • Assist with tournament and postseason event preparation

Student-Athlete Support & Accountability

  • Monitor eligibility requirements and academic documentation
  • Promote standards of conduct and accountability
  • Encourage a positive, Christ-centered athletic culture
  • Build relationships with student-athletes and families
