Preschool Administrative Assistant

Full-Time | Deltona, FL

job Description

Serve as secretary and provide administrative assistance to the Preschool Director; make, schedule and arrange appointments, meetings and conferences; independently compose letters, memoranda and bulletins as directed; take and transcribe dictation as required. Responsible for assisting in maintaining an orderly, safe and pleasant atmosphere in the preschool office. This position is one that is in the public eye and assistants must always reflect a professional manner as well as provide excellent customer service.

Must have the ability to meet state and federal requirements including: background check, fingerprinting, and physical. Ten In-Service hours yearly per DCF. Must have or be willing to obtain DCF 45 hour training. CDA a plus.

Must be a Christian and actively attending a local church.

High school diploma or equivalent.

Previous experience as daycare assistant or summer camp counselor, preferred

Experience working with children and students preferred

Frequent walking, standing, stooping, and lifting of up to approximately 30 pounds may
be required

Full-time salary position. Workday from 10:00 am to 6:00 pm

essential responsibilities

Ability to communicate comfortably (written and orally) with students, parents/guardians, administrators, and others, possess the ability to be firm but friendly, and must be able to be courteous and professional when dealing with parents, children
and other co-workers.

Ability to follow and enforce rules, policies, and procedures in accordance with school policy and established school procedures.

Duties also include preschool office reception, staff scheduling, meeting with and touring new preschool families interested in enrolling in our school, adding new enrollments into Brightwheel, keeping child’s information up-to-date, make sure children medicals are up to date.

Provide monthly admissions report to Admissions Director.

Helps with quarterly report to Health Department.

Supervises Preschool and School Age children after regular school hours.

Manages a team of aftercare personnel.

Ensures the safety and accounting of each child and ensure a safe environment for the students in the Aftercare program.

Implements and follows age appropriate daily schedule of activities: snacks, play, study.

Interact with children in a training and instructional manner in their Aftercare activities.

Address any first aid needs.

Ensures that the appropriate, responsible adult is the one who picks up the child.

Completes attendance and billing for Aftercare students monthly and submit to the Business Office.

Ensure that Aftercare personnel complete the end of day responsibilities before leaving for the day. (clean room(s) sweeping, cleaning surfaces, disinfecting toys and putting them away.)

Assist as needed in the office, including answering phones, welcoming and assisting visitors and volunteers. Performing other duties as assigned by the Director.

Reports to the Preschool Director.
